Creating, editing, and deleting roles

Role management is available to system administrators, the workspace administrator, and workspace privileged users.

Tip    Once you have opened a role property page, you can create, edit, and delete roles without returning to the roles list page. Simply select an existing role from the list on the property page, if necessary, and click the appropriate button.

To create a new role:

  1. In the Settings view, expand the name of the workspace in which you want to create the role and click Roles. A page listing the existing roles appears.
  1. In the Roles section header, click New. A page showing the available role options appears.
  2. Click options or type values using the descriptions in the following table.
Role options
Option Description

Role code

Type a unique code to identify the role.

Role name

Type a name for the role as you want it to appear to users.

Set to documents and folders

Select ON to enable the role to be applied to folders and documents.

Permissions

For each of the available permission groups, select the permissions to grant to users and groups that are assigned the role.

  1. Click Create. The page listing the existing roles appears with the new role added.

To edit an existing role:

  1. In the Settings view, expand the name of the workspace in which you want to edit the role and click Roles. A page listing the existing roles appears.
  1. On the Actions menu of the role that you want to edit, click Edit. A page showing the role's current options appears.
  2. Select or type options using the descriptions in the preceding table.
  3. Click Save. The page listing the existing roles reappears.

To delete an existing role:

  1. In the Settings view, expand the name of the workspace in which you want to delete the role and click Roles. A page listing the existing roles appears.
  1. On the Actions menu of the role that you want to edit, click Delete. A confirmation dialog box appears.
  2. Click OK. The page listing the existing roles appears with the selected role removed.
